The Best Gas Certificate Apps for Gas and Heating Engineers

A good gas engineer app lets you complete a landlord gas safety record (still widely called a CP12), service record or warning notice on your phone, get it signed, and email a PDF before you leave the job. We compared four apps with verified certificate lists and pricing as of October 2026: Gas Engineer Software (GES), Gas Cert by iCertifi, Powered Now and Joblogic.

What does the law say a gas safety record must contain?

Start with the rules, because an app is only useful if its forms capture what is required.

HSE's guidance on landlord gas safety records says the record must include (as of October 2026):

  • a description and location of each appliance or flue checked
  • the engineer's name, registration number and signature
  • the date of the check
  • the property address
  • the landlord's name and address
  • any safety defects and the remedial action taken
  • confirmation that the regulation 26(9) checks were carried out

The same page sets out the landlord's duties, which affect what your customers expect from you:

  • Records must be kept for at least two years.
  • Existing tenants must get a copy within 28 days of the check.
  • New tenants must get a copy before they move in.
  • Checks are annual.

On digital certificates, HSE says electronic records are fine if they "can be reproduced in hard copy format when required", are secure from loss and interference, and identify the Gas Safe engineer. A tenant can still ask for paper.

That last point is useful when you choose an app: check how easy it is to print, re-send or find an old certificate in a hurry.

Gas Engineer Software (GES): which certificates are included?

GES is software built for gas engineers first. Its records and certificates page lists, as of October 2026:

Domestic gas:

Homeowner Gas Safety Certificate, Landlord Gas Safety Certificate, Gas Warning Notice, Gas Service Record, Gas Breakdown Record, Installation / Commissioning Checklist.

Non-domestic gas:

ND Gas Safety Record, Leisure Industry Gas Safety Record, LPG Gas Safety Record, ND Gas Testing and Purging Record, ND Catering Record.

Oil, heat pumps and other:

CD/10, CD/11, CD/12 and CD/14 forms, TI/133D, Air Source Heat Pump Service Record, Legionella Risk Assessment, Minor Electrical Works Record and Unvented Hot Water Cylinder.

Once the customer signs and the certificate is approved, GES emails it and saves it to your records. It says it schedules a boiler service reminder as soon as you issue a relevant certificate, and reminders can go by email and SMS.

On price, GES lists Starter at £19 per user a month (£18 billed annually), Core at £23 and Pro at £30, excluding VAT, with a 14-day trial and no card needed to start (as of October 2026). Starter covers records and certificates; Core adds quoting, invoicing and automated reminders.

Suits: one-van gas engineers who want certificates, reminders and invoicing in one place without paying for features they won't use.

Gas Cert by iCertifi: what do you get?

Gas Cert is an app-first option. iCertifi's Gas Cert page says it covers "30 certificate types", including the Gas Safety Record (CP12), Service / Breakdown Report, Gas Warning Notice, Boiler Commissioning (Benchmark) and Plant Commissioning and Servicing (CP15), and includes "5 gas calculators" (as of October 2026).

Its pricing page lists Gas Cert at £24.99 for one month, £149 for 12 months, and £490 for a 12-month Enterprise plan, with prices including VAT, unlimited certificates and a free two-week trial (as of October 2026).

One thing to note: the Gas Cert page says syncing between devices, its GasAI feature and invoicing are Apple-only, and that Android certificates stay on the phone. If you use Android, or want the office to see certificates, factor that in.

Suits: sole trader gas engineers on iPhone or iPad who want a straightforward certificate app on an annual price.

Powered Now: is it a certificate app or a business app?

Both. Powered Now is general trade software with gas certificates built in. Its gas certificates page lists forms including the Gas Safety Record, Gas Warning Notice, Gas Breakdown/Service Record, Gas Service/Maintenance Checklist, Central Heating Commissioning Certificate, Domestic Unvented Hot Water Commissioning/Inspection Record and a Central Heating Powerflush Checklist, and says the Professional plan "includes over 60 forms and certificates" (as of October 2026).

On its pricing page, certificates sit under Professional (£32 per user a month) and Premium (£40), not the entry Business plan, all excluding VAT (as of October 2026). Premium adds a customer portal where customers can see quotes, invoices, appointments and documents.

Suits: plumbing and heating sole traders who do a mix of gas and general plumbing, and want quotes, invoices and certificates in one app.

Joblogic: what if you run a bigger team?

Joblogic is aimed at larger service businesses, and has a gas certificate app within its platform. It lists domestic CP12 gas safety certificates, non-domestic CP17 certificates, CP6 service and maintenance checklists, LPG safety certificates, CP14 warning notices, RIDDOR warning notices, CP42 catering certificates, plant commissioning records, commercial testing and purging forms, and unvented cylinder commissioning records (as of October 2026).

Its FAQ says you can still create and generate gas certificates on your device without a connection, and they sync when you are back online.

Joblogic's main pricing page shows a Standard plan from £45 per user a month, billed annually, with Premium and Enterprise priced on request (as of October 2026).

Suits: multi-engineer firms with commercial contracts, planned maintenance and office staff.

Which gas engineer app should you choose?

A sole trader gas engineer on iPhone

Gas Cert or GES

A sole trader on Android

GES or Powered Now

Doing a mix of plumbing and gas

Powered Now or GES Core

Running commercial and catering work

GES or Joblogic

Running several vans and an office

Joblogic, or GES Pro alongside your accounts

Before you choose, check these five things in the free trial:

  1. Does it have every form you issue? Landlord records, warning notices, service records, unvented cylinders, and any OFTEC or commercial forms.
  2. Can the customer sign on screen? And does the PDF arrive in their inbox before you leave?
  3. Can you find a two-year-old certificate in under a minute? Landlords and letting agents will ask.
  4. Does it set the reminder for next year? Repeat servicing is the cheapest work you will ever win.
  5. Who owns the data if you leave? Ask how to export all your certificates and customer records.

Should you still keep paper certificate pads?

Some engineers keep a pad in the van as a backup for jobs where a phone dies or a customer insists on paper there and then. That is a personal choice.

If you mix paper and digital, the risk is records in two places. Whatever you use, make sure you can find any certificate quickly, re-send a copy when a landlord or agent asks, and give tenants paper when they request it, as HSE's guidance expects. One system, used every time, is easier to defend than two half-used ones.

Why does your certificate app matter to your marketing?

Every landlord gas safety record you issue is a reminder waiting to happen. A good app turns that into a booked job next year.

It also links to your website. Every landlord needs a gas safety check each year, and letting agents look after many properties at once. If your website has a clear page for landlord gas safety checks, your Gas Safe number, and a simple way to book, the app handles the paperwork and the website brings the next landlord in.

Frequently asked questions

Are digital gas safety certificates legal?

Yes, for landlord records. HSE says electronic records are acceptable if they can be reproduced in hard copy when required, are secure from loss and interference, and identify the Gas Safe engineer. Tenants who ask for paper must get it.

What is the cheapest gas certificate app?

Of the apps we checked, Gas Engineer Software's Starter plan is £19 per user a month plus VAT, and Gas Cert lists £149 for 12 months including VAT, as of October 2026. Compare what each includes, not just the headline price.

Can I use a gas certificate app without signal?

Several say so. Gas Engineer Software says it works fully offline, and Joblogic says you can create certificates on your device and sync when you reconnect, as of October 2026.

What must a landlord gas safety record include?

HSE lists each appliance or flue checked and its location, the engineer's name, registration number and signature, the date, the property address, the landlord's details, any defects and remedial action.

Do gas certificate apps send service reminders?

Some do. Gas Engineer Software says it schedules a boiler service reminder when you issue a relevant certificate, and Gas Cert includes reminders in its subscription, as of October 2026.
